What is the Hawkeye Alert system?

The Hawkeye Alert system notifies the campus of emergencies and threats to physical safety in emergency situations: severe weather, campus closings, cancelled classes, hazardous material incident, violence, etc. Notifications are by cell phone, landline phone, email and text-message.

How does the Hawkeye Alert system work?

Hawkeye Alert allows Hawkeye administrators to send recorded emergency messages ("Hawkeye Alert") to students and staff by cell phone, landline phone, email, and text-message within minutes.

When a threat or campus emergency is identified, Hawkeye Alert uses contact information from Hawkeye's student registration or staff personnel information (Human Resource Services) to simultaneously send thousands of messages directly to students, faculty, and staff using cell phone numbers, text messaging, home phone numbers, office phone numbers, and email. The entire campus community can be notified in approximately 20 minutes.

How do I sign up to receive Hawkeye Alert?

All current students, faculty, and staff have their primary phone, mailing address and Hawkeye email addresses on file with student registration and staff personnel information (Human Resource Services). Everyone is strongly encouraged to verify their information and add text messaging, additional phone numbers, or email addresses in the Hawkeye Alert system.

Hawkeye Alert System is a separate system from the student registration or staff personnel information (Human Resource Services) database; therefore your information can be different in each system.

What is my username and password?

Your Hawkeye Alert username and password are the same username and password you use to log-in to your Hawkeye email or onto a computer on Hawkeye's network.

STUDENT USERNAME: Your computer and network username is your legal first name and last name, in lower case letters. For example: Bob Doe = robert.doe. If you have a common legal name or are unsure of your username, please see "What's my email username?".

STUDENT PASSWORD: Forgot your password? Learn how you can Reset your password.

FACULTY & STAFF: Use the same username and password you use to log-on to your computer or to get your Hawkeye email.

Is there a fee for the Hawkeye Alert system?

There is no cost to students, faculty, and staff for the Hawkeye Alert service. Service for the Hawkeye Alert system is paid for by Hawkeye Community College.

If you elect to accept text messages, depending on your cellular provider and your phone plan, you may incur a cost for incoming text messages. By opting into the Hawkeye Alert service you are agreeing to incur this cost, if any apply.

What phone number will appear on my Caller ID when I receive a Hawkeye Alert? I want to program that number into my phone.

Calls from Hawkeye Alert system will come from the Hawkeye Alert and Information Line – 319-296-4444. This line was formerly called the Hawkeye Information and Closing Line. We recommend programming a unique and audible ring tone for calls coming from the Hawkeye Alert number, especially if you normally have your mobile phone on vibrate mode (i.e. when you're in class or meetings). Your wireless carrier should be able to provide you with instructions on how to do this on your particular phone model.

How do students and staff at Hawkeye Community College enter their contact information, so that it can be available for use in emergencies?

Students and staff may enter their personal contact information in the Hawkeye Alert system.

Individuals must log-in using their Hawkeye network username and password. It is important to update your contact information. Hawkeye encourages all students and staff to add/update their cell and other phone numbers in the Hawkeye Alert system as soon as possible.

Can I only receive text messages with the Hawkeye Alert system?

The Hawkeye Alert will call every phone number and email every email address listed in your profile. If you would like to receive only text messages, you may do so by setting your cell phone as your primary phone number. Then in the "Call Preferences" section, check "Text Message Only".

Can I include contact information for a spouse, significant other, or parent(s), so that they'll be alerted during emergencies?

Any number you include in the Hawkeye Alert system, up to six phone numbers, will be notified. However, please remember information from Hawkeye Alert is designed for people on or near campus, so all emergency notifications may not be appropriate for others.

What different types of emergencies will the Hawkeye Alert system notify me?

Hawkeye Alert will be utilized in emergencies and situations that present threats to one's physical safety: severe weather, campus closings, cancelled classes, hazardous material incidents, violence, etc.

Hawkeye Alert is capable of targeting specific groups of people (e.g., occupants living in the apartments across from the main campus).

What types of Hawkeye Alert methods are available?

Hawkeye Alert will deliver communications in the form of text messages, recorded voice messages, and email messages.

In conjunction with the Hawkeye Alert system, Hawkeye has installed an indoor notification or intercom system to help ensure that those on campus hear alerts and warnings.

What is the time frame in which I should expect to receive a Hawkeye Alert?

Circumstances will vary, including the size of the notification audience, the time of day, etc. However, a Hawkeye Alert communication sent by phone or text-message should arrive minutes after being initiated. A Hawkeye Alert sent by email will serve largely as a backup/supplemental mechanism and typically takes longer to be delivered. The goal for a Hawkeye Alert is to have all contacts made within 20 minutes of being initiated.

How can the Hawkeye Alert system reach thousands of people in just minutes?

The Hawkeye Alert system is supported by NTI, which has access to tens of thousands of phone lines originating from multiple locations throughout the United States to ensure that its clients' communications are delivered quickly and efficiently. Additionally, NTI employs sophisticated call throttling logic to identify the proper schematics needed to deliver calls based upon whatever congestion the local telecommunications providers are experiencing at the moment calls are being attempted.

Where do I go for information about an emergency situation?

Emergency information will be available from the Hawkeye Community College website with a website set-up for an emergency communication.

If I input my cell phone number, will it be published?

No. Information included in the Hawkeye Alert system including your cell phone number or other personal information will not be published anywhere. Additionally, you will only be contacted through the Hawkeye Alert system for a college emergency or college closing.

What should I do if I use my cell phone as my primary phone (I don't have a landline at home)?

Your cell phone can be your primary phone. If you wish to elect to receive text messages or add additional phone numbers or an email address, then you will need to add this information in your profile in the Hawkeye Alert system.

Will Hawkeye Alert system share my information with anyone?

No. Hawkeye does not sell, lease, share, or rent personally identifiable information (names, addresses, phone numbers, etc.) to any companies or persons outside of the college. Additionally, you will only be contacted through the Hawkeye Alert system for a college emergency or college closing.

Does Hawkeye Alert system support numeric pagers?

No, the Hawkeye Alert system does not support numeric pagers at this time.

My contact information has been updated. Can I test my ability to be notified to make sure the Hawkeye Alert system will work?

The Hawkeye Alert system does not have the means to provide an on-demand test notification for individuals at this time. When you update your information, you should receive a verification of your changes either by email or text message depending on your contact preferences in the Hawkeye Alert system.

Hawkeye will test the Hawkeye Alert system campus-wide at the beginning of each semester.

What action should I take if I do receive a Hawkeye Alert?

The Hawkeye Alert will include any necessary information needed including detailed instructions on what to do, where to go, and how to receive additional information.

You can help spread the word by telling those around you what's happening. Word-of-mouth is an important form of notification. Word-of-mouth (vs. by phone) leaves more phone lines open for the system to utilize in sending out communication.

Should I attend classes (or come to work) when we are experiencing severe weather conditions?

Individuals should use good judgment and avoid serious risks during severe weather conditions in traveling to campus to attend classes or report to work.

If Hawkeye cancels classes students should not report to class and should refer to their professors' instructions about off-site clinical, internship, etc. Staff should visit with their supervisor with any specific questions. If Hawkeye cancels classes or has a delayed start due to weather conditions, a Hawkeye Alert will notify students and staff of the circumstances.

I recently graduated or left Hawkeye and/or no longer wish to receive Hawkeye Alerts. How can I ensure that I won't be notified?

Your status in the student registration information or staff personnel information (Human Resource Services) will dictate whether or not you are able to receive a Hawkeye Alert in the event of an emergency. This status and your presence in the Hawkeye Alert system are updated daily. Only active students, faculty, and staff are included. You should not need to take any action when leaving the college.

Are Hawkeye students living in the apartments across from the main campus or living in the UNI residence halls included in the Hawkeye Alert system?

Yes. All students taking classes or high school students taking a Hawkeye course will have access to this system.

How are duplicate phone numbers handled?

Some people may use their cell phone as their primary phone (i.e., they don’t have a landline at home) and thus may have the same phone number listed in their primary phone and cell phone. Similarly, some phone numbers may be shared by multiple people (e.g., a shared phone at work, or by roommates in an apartment).

During an emergency, the Hawkeye Alert system will automatically reduce all occurrences of duplicate phone numbers to one number, before initiating a mass notification.

Can I opt out of the Hawkeye Alert system?

Hawkeye is committed to keeping our campus safe. Therefore, the College automatically includes ALL registered students and active employees in the Hawkeye Alert system. However, the College also realizes there may be circumstances where a student or an employee may choose not be included in the alert notification system. These individuals may opt out of the system by going into their Hawkeye Alert profile and checking the "Opt out" box. By doing so, these individuals will not be contacted in ANY emergency situation. Additionally, these individuals may opt back into the system at any time by removing the check mark in the "Opt out" box.
